Finding Joy in AI

I’ve sat with businesses at the beginning — consultancy, the accounts, how money actually moves — and I’ve stayed long enough to write the employment policies, the handbooks, and the standard procedures that keep the books honest after the excitement wears off.

One thing I learned the hard way: most companies eventually need a separate bookkeeper. That person is not automatically an advisor.

A bookkeeper owns the file. Coding. Bank rec. Payroll. Close. An advisor uses that clean file to tell you what the numbers mean — cash, margin, risk, and what to do next. A lot of shops hire one person and expect both jobs. That’s how things get late, messy, and expensive.

When those roles aren’t named, AI doesn’t help. It just speeds up the mess.

There is a real chance now for businesses to save time and run a tighter close with AI. Not by replacing the bookkeeper. Not by handing the books to a chatbot.

AI is already inside QuickBooks, Xero, NetSuite, Sage, and the rest: bank feeds, invoice capture, bill pay, expenses, cash views. The problem isn’t “is there AI?” The problem is which process it helps, which app you actually turn on, and what still needs a human.

If QuickBooks Online already feeds the bank itself, you don’t buy a second feed. Intuit Bank Feeds live inside Banking — not a separate Plaid app. If bills pile up, you might need BILL or Dext — not another login that double-posts. Getting that list wrong costs money. Getting it right shortens the close.
